One channel instead of four side routes

At many schools, sick notes travel along four routes at the same time: a call to the office, an email to the form teacher, a message in the parents' group and a slip of paper the next day. Each route produces its own note, and none of those notes knows about the others. With online reporting, every report lands in the same list, whether it comes from the app, from the browser or from the office itself. That gives a single source for the question of who is absent today – and for the later question of whether that absence was excused. The office saves not only the calls, but above all the piecing together in the afternoon.

What the school sees in the morning

In the morning the school needs two answers: who is missing, and is there a report for it? SchuleVernetzt puts both lists side by side. Reports appear with class, name, date range and time of arrival; unexcused absences stand next to them and stay there until somebody clears them. Because attendance is recorded for each lesson, it also shows when a child is only missing from the third period onwards or does not come back after the lunch break. For parent meetings, the course of a whole school year can be opened without anyone leafing through a book. If single days of absence start piling up, the school sees it early rather than at report time.

Access, roles and data protection

Reporting sick online does not mean putting health data out on the open internet. Access runs through a personal account, processing through servers inside the EU in Germany, and a report is visible only to the roles that need it: form teacher, school office and school leadership. Parents see only their own children. A reason for the absence is voluntary; the school only needs to know that the absence was due to illness – which in the EU and the UK keeps the school well clear of the special categories under Article 9 GDPR, and elsewhere is simply the smaller thing to have to protect. The Article 28 data processing agreement and a procedural description are included, so that whoever runs your school and whoever advises it on data protection do not have to build anything themselves. Retention is the one figure the software cannot supply: the GDPR sets no period, and the actual one comes from the education law your school sits under, so it is configured per category. In Germany those periods are state law and differ between the sixteen federal states; in England they follow the school's records retention schedule.
