How cover planning works
From the sick note in the morning to the push message on a phone: cover planning runs through four steps that stay the same every day and together usually take only a few minutes.

Record the absence
When a teacher reports sick, you enter the absence in the cover plan – or it arrives from the sick note already filed in the system. The affected lessons, classes and rooms are known immediately.

Assign the cover
The software shows who is free in that period and flags double bookings of rooms and people. Within a school network you can also search the cross-school cover pool.

Distribute automatically
As soon as the plan is settled it goes out on its own: by push to the teachers, classes and parents affected, and at the same time onto the digital notice board in the foyer.

Follow up on changes
If something else changes during the morning, you correct the affected row. Every view updates within seconds, and each correction stays traceable with its timestamp in the log.

Import from Untis and Indiware
The most common reason a school stays with its old solution is the fear of rebuilding the whole plan. That part disappears: SchuleVernetzt reads timetables and cover plans from Untis and Indiware, including classes, subjects, rooms and teachers. Timetabling can stay exactly where it is today – the software takes over cover, display and distribution. Schools without a timetabling tool, or those that want to replace one, create the cover plan directly in SchuleVernetzt instead. Both routes can be mixed: the base plan comes from the import, the day-to-day changes are made in the software. That keeps the switch a decision for the staff room rather than a summer-holiday project.
Spotting clashes and finding cover
The real work on a cover plan is not the typing, it is the question of who can take a lesson. The software compares the timetable, the reported absences and the room bookings, and reports when a teacher or a room is scheduled twice. At the same time it shows who is free in the affected period, so the choice does not have to come from memory. If the school belongs to a network, the view can be widened to a cross-school cover pool – useful in subjects where nobody at a single site can step in. What is left is a plan in which every lesson is visibly covered or deliberately marked as cancelled.
Data protection, hosting and roles
A cover plan contains personal data: who is absent, who steps in, which class is affected. That is why distribution runs through a closed channel and not through a WhatsApp group in which phone numbers are visible to everyone. The data sits on servers inside the EU, in Germany, and a data-processing agreement plus a data-protection package are part of it. A role concept governs who sees what: the head teacher and the school office see the whole plan, teachers their own duty, classes and parents only their own lessons. How long old plans have to be kept comes from the education law your school sits under, not from the GDPR, and the periods differ widely – digitally they can be deleted deliberately instead of piling up as paper in the office.
