How the digital cover timetable works day to day

From the first setup to the daily routine it takes four steps – after that the plan updates itself as soon as someone in the school office changes a lesson.

    Read in the plan

    You import the timetable and cover plan from Untis or Indiware, or create the classes, subjects and rooms directly. The plan does not have to be rebuilt for the switch.

    Assign the people

    Teachers, classes and parents receive an account and see exactly their own section of the plan through it. Parents are added by invitation link, without anyone having to collect phone numbers.

    Enter the change

    If a lesson is cancelled, it is entered once in the school office. From there the digital cover timetable synchronises within seconds to every phone, in the browser and on the screen in the foyer.

    Start the foyer display

    Any existing screen with a browser shows the plan for the day as a digital notice board. The display refreshes on its own, so nobody has to swap a sheet of paper in the morning.

Synchronisation: from the timetable to the display

The route is always the same: out of the timetable – imported from Untis or Indiware, or set up directly – comes a cover lesson, and out of the cover lesson comes a display. In between sits the synchronisation, and that is exactly what separates a digital cover timetable from a sheet on the noticeboard. When the school office enters a cover at 7.40 in the morning, every output fetches the same state: the teacher's phone, the screen in the foyer and the parent view. There is no second place to maintain – no file for someone to update afterwards, and no PDF version in an inbox that was already out of date when it was sent. Nobody has to guess whether the sheet on the board is from today or from yesterday. Corrections during the first lessons go through the same way, without a new printout.

The digital notice board in the foyer

Not everyone carries a smartphone, and in many schools a glance at the notice in the entrance hall is a fixed part of the morning. That is exactly what the foyer view is for: any screen with a browser – an old monitor, a television, a retired computer – shows the cover timetable for the day, large and automatically up to date. No new hardware is needed for it, and the display shows only the plan for the day, no name lists or sick notes. The familiar place stays while the content comes from the same source as the app: one place to maintain, three ways out, without duplicated work.

Data protection, server location and roles

As soon as absences are distributed digitally, personal data is involved – which makes the route more important than the speed. SchuleVernetzt distributes through a closed channel rather than a WhatsApp group in which the phone numbers of all parents are visible to everyone. The data sits on servers in Germany, a data-processing agreement and a data-protection package are part of the offer, so the school authority can check the paperwork. A role concept sets out who sees which section, and the foyer shows only the plan for the day. How long a cover plan has to be kept is a question every school answers for its own region: the retention period is set by the responsible school authority, not by the software, and digital plans can then be removed selectively.
