Bring the plan over
The existing timetable and cover plan is imported from Untis or Indiware, or created directly. The app needs that basis so it can later show every class and every teacher the right section.

Hand out access
Teachers, pupils and parents are added by invitation link and sign in to the app. Nobody has to pass on phone numbers for it, and a class list in a messenger becomes unnecessary.

Enter the cancellation
The school office enters the change once. The app passes it on immediately and notifies only the people whose own timetable actually shifts as a result – with no bulk message to the whole school.

Keep the plan in view
Everyone opens the app and sees their own day: classes their timetable, teachers their duty with room and subject, parents the lessons of their child. Anyone without a smartphone opens the same view in the browser.

An app that writes to everyone on every change to the plan is muted within a fortnight. That is why SchuleVernetzt checks before each notification who the change actually concerns: if maths is cancelled in year 7b, then 7b, their parents and the teacher involved hear about it – not the whole school. Anyone taking over a lesson gets the cover with room and subject straight onto their phone instead of looking for it on the noticeboard. The message lands in the closed channel of the app and not in a private chat group where it disappears between pictures and questions about dates. That keeps the notification a reliable signal and not noise.
Every role sees its own plan
A printed notice shows everything to everyone: whoever is looking for their own lesson reads through other classes and other names. In the app it is the other way round. After signing in, the role decides what is on the screen – classes see their day, parents the lessons of their child, teachers their duty with room, subject and class, the school office the complete plan. That does not only save time, it is also better for data protection, because nobody gets to see details that are none of their business. The basis for that is the plan itself: when it comes from Untis or Indiware, the app takes class, subject and room straight from the import.
Closed channel instead of class chat
For many schools the quickest way to report a cancellation has so far been the WhatsApp group – and that is exactly the most delicate one in terms of data protection. The phone numbers of all parents lie open there, messages cannot be taken back, and whoever runs the school has no contract in hand. The cover plan app replaces that route with a closed channel: access only through the invited account, data on servers inside the EU, in Germany, a data-processing agreement and a data-protection package as part of the offer. A role concept limits who sees which details. What may appear in a cover plan at all, and how long it is kept, is set by the rules your school works under – and those differ sharply from one school system to the next.
