How the online parent-teacher conference works
From an empty calendar to a finished day plan takes four steps: create the grid, assign teachers, let parents book, and remind everyone automatically before the appointment.

Create day and grid
Enter title, date and time window, then choose slot length and buffer. Blocked times keep the evening break free. From these details the system generates the bookable slots for every teacher.

Assign teachers
The participating teachers are assigned to the conference day and automatically receive the same time grid. Anyone added later gets their slots immediately – nobody keeps a second list alongside.

Parents book in the portal
In the parent portal, families see the free times of their children's teachers and choose for themselves. A booked slot disappears at once for everyone else; one appointment per teacher is possible.

Remind, rebook, fill gaps
Before the conference day a message recalls the appointment. If someone cancels, the slot becomes free again; the school can also rebook appointments – the parents concerned are notified by e-mail.

Time grid, buffers and blocked times
A conference day rarely fails because of technology; it fails because of rhythm. Five-minute slots fit in many conversations but go off the rails after an hour if there is no buffer between two families. That is why slot length and buffer belong together when the day is created: from start, end, length and break the system calculates the grid and generates the same bookable appointments for every assigned teacher. Blocked times take individual windows back out, such as half an hour of evening break – no appointments are created there that anyone could book by mistake. If the time window does not match length and buffer, the system says so while the day is being created, instead of producing an unworkable grid later.
Cancellations, rebooking and siblings
A conference day keeps changing until the last minute: a child falls ill, a teacher drops out, a conversation has to happen an hour later. Parents cancel their own appointment in the portal; the slot is then immediately available to everyone again instead of sitting there as a hole in the plan. The school can move a booked appointment to a different time or cancel it with a reason – in both cases the parents receive an e-mail. If a teacher is removed from the conference day entirely, the system shows beforehand how many bookings are affected. Families with several children book with the respective teachers one after another and choose which child each appointment is for.
Data protection instead of a door list
A booking list on the notice board tells every passing family who talks to which teacher, when and for how long. Online booking turns that around: parents see free times but no one else's bookings, and an appointment is visible only to the booked teacher and the booking family. Booking runs through the closed parent portal rather than private messenger groups or open notices. The data sits on servers inside the EU, in Germany, access is tied to roles, and a data processing agreement and data protection package are ready for the school. How long booking lists and conversation notes have to be kept comes from the education law your school sits under, not from the GDPR, which sets no period at all – the school stays in charge of its data and decides what is stored.
