Create the consultation time
Set weekday, time window, slot length and buffer, plus an optional location: a room or a note about a video meeting. From these details the system generates the bookable slots for the coming weeks.

Share the booking link
Every consultation time comes with a public booking link. It goes into the parent letter, the e-mail signature or the digital notice board – parents book a free slot through it without signing in.

Parents choose themselves
The booking page only shows times that really are free. As soon as someone books, the window is gone for everyone else – two families in the same slot are technically impossible, even with simultaneous access.

Remind and adjust
Before the meeting a message reminds both sides. If an appointment falls through, it is cancelled and the parents receive an e-mail; individual windows can be blocked without deleting the whole consultation time.

The classic parent-teacher conference day squeezes every conversation into two evenings a school year. Whatever needs clarifying in between ends up in notes in the schoolbag, requests for a call back and phone chains. A recurring consultation time turns that around: a teacher sets once which weekday and which time window they are available, and from that the system continuously generates appointments for the coming weeks. If something changes later, the changes apply to newly generated appointments while conversations that are already booked remain – nobody loses a confirmed slot just because the consultation time was adjusted. Consultation times can also be activated and deactivated, for holidays or a class trip.
Why double bookings stay away
Double bookings do not come from carelessness; they come from two people reading the same list at different times. A paper list has no current state: whoever sees it in the morning knows nothing about the entry made in the afternoon. With online booking the availability on screen is the truth. A window disappears the moment it is taken, and anyone clicking the same appointment at the same time gets a clear message and picks another time instead of accidentally creating a second booking. The buffers between two conversations are part of the grid as well, not goodwill: they are calculated in before an appointment even exists.
Data protection and being reachable
At many schools appointments are arranged through private mobile numbers and messenger groups – convenient, but delicate, because contact details and reasons for a conversation end up outside the school. Booking through SchuleVernetzt stays in a closed channel: the booking page shows free times but no one else's bookings, and the teacher does not have to hand out a private number. The data sits on servers inside the EU, in Germany, access is tied to roles, and a data processing agreement together with technical and organisational measures is ready for the school. How long a record of a parent conversation has to be kept is not something data protection law answers – it comes from the education law your school sits under, and the periods differ widely. The school enters the period once and keeps control over what is stored.
