Which columns the template holds

The template covers exactly the details a cover plan needs day to day: period, class, subject, room, cover and a field for notes. The period places the row in the school day, class and subject show who it concerns, and the room prevents two groups standing in front of the same door. The cover column holds the person taking over – or a clear note that the lesson is cancelled without replacement. The note field takes everything that would otherwise be passed on by word of mouth: tasks from the staff room, a room change, a lesson brought forward. A plan for a single day rarely needs more columns than that.

From the template to the notice board

Once it is filled in, you download the table as a CSV file. It opens in Excel, Numbers or Google Sheets, where column widths can be adjusted, font sizes enlarged for the noticeboard and the plan printed. Anyone who would rather prepare an empty plan loads the blank template and fills it in by hand. Your entries stay in the browser while you work – the table sends nothing to a server, so even a plan with the names of teachers never leaves the device. For daily use it helps to save the completed file with the date in the file name.

When a template is no longer enough

A template is good for a single day. Beyond a certain size the effort tips over: the file has to be filled in, printed and put up again every morning and replaced with every correction, and anyone who has already walked off never sees the change. Sharing it gets delicate too, because a completed plan contains names and does not belong in a private chat group. Solved digitally it looks different: the plan is maintained once and appears automatically in the app, in the browser and on the screen in the foyer. Existing plans can be brought over from Untis or Indiware for that.

Yes. Download the completed table as CSV and open it in Excel, Numbers or Google Sheets. There you can adjust the column width and the font size and print the plan in the format you want. For a notice in the corridor, a larger font and a clear date in the header are worth it.

As many as you need: the button for adding creates each further row individually, so even a day with a lot of cancellations can be mapped. Rows you do not need can be removed again. The downloaded file contains the rows exactly as they stand in the table.

A completed cover plan contains names and is therefore personal data. What is permitted follows the rules of whichever authority supervises your school, and those differ from one school system to the next; a private WhatsApp group in which the numbers of all parents are visible is usually the wrong route for it anywhere. A closed channel with personal accounts is safer.
