Set up classes and families
Classes, groups and legal guardians are created once or imported from an existing directory. Every family receives an invitation link; separated guardians get their own account and therefore the same level of information.

Write the circular
Subject, text and attachments are composed straight in the editor. The recipient selection ranges from the whole school through a single class down to one family, and the text can be offered in several languages.

Attach a reply
A structured reply can be attached to every circular: acknowledgement, yes or no, a choice or a parental consent form. Parents answer in the very window in which they read the text.

The return slip is the bottleneck of parent communication: it has to be printed, handed out, signed, brought back and counted, and part of it never comes back at all. A read receipt turns that around. Every circular keeps its own list showing, for each legal guardian, whether the text was opened and whether the attached reply was given. The work therefore shifts from collecting to targeted follow-up: instead of reminding a whole class, two reminders go to the two families nothing has arrived from yet. For school trips, consent forms and deadlines with a response rate, that is the difference between guessing and knowing.
A closed channel, not a private chat
When parent communication drifts into private messengers, two problems appear at once: teachers hand out their private mobile number, and school content sits in accounts the school does not manage. Whether staff may use a private messenger for school business is a question your own school system answers – in Germany, several federal states prohibit or explicitly discourage it. That is why data processing is agreed in writing before the first message goes out: SchuleVernetzt provides a contract under Article 28 GDPR together with the register of technical and organisational measures. All data sits on servers in Germany, and there is no transfer to third countries. The role model separates school management, the office, teachers and parents, so that each person only sees the classes and families they are responsible for. Retention periods can be set per data type, so that messages and replies do not linger indefinitely after the school year.
