Why schools send parent letters digitally
A read receipt per parent
For every letter you see which family has opened it – and you remind only the ones still missing, not everyone.
Reply in a single tap
Consent, a choice or a signature happens right inside the letter. Responses land with you automatically – no slip gets lost.
Follow up without the busywork
One reminder to everyone still open is enough. No ticking off name lists, no phone calls after school.
Reach everyone, in their language
Separated parents receive the same letter, each family in its own language – no WhatsApp group and no pile of photocopies.
How you send a parent letter digitally
Four steps lead from the draft to a complete set of replies, and along the way they replace printing, handing out, collecting and counting the slip at the bottom of the letter.
-
1
Write the letter
You write the parent letter straight in the app or paste in an existing text. Attachments such as a programme, a schedule or a materials list are attached to the letter instead of being photocopied on top.
-
2
Choose recipients
You select the whole school, a class, a group or individual families. All stored legal guardians receive the letter at the same time, even when they live apart from one another.
-
3
Attach a reply
You attach to the letter what you want back: acknowledgement, consent, a choice or a digital signature. Parents answer inside the letter, without having to print anything out.
-
4
Track the responses
A live overview shows read, answered or open for each family. You remind the missing replies with one click, and at the end you export the result as an overview.
Digital parent letter vs. paper slip
The digital parent letter in detail
A read receipt per legal guardian
A read receipt is more than a tick. It answers the question every paper letter raises: has the information actually reached the parents, or is it still sitting in the schoolbag? SchuleVernetzt keeps that record per legal guardian rather than per child. With separated parents you can therefore see whether both have read it, instead of relying on it being passed on. The overview also distinguishes between read and answered, because the two are not the same: opening the letter does not yet mean agreeing to anything. For deadlines around school trips and consent forms, that distinction is exactly what matters.
Structured replies instead of free text
A free reply by email has to be read, understood and transferred into a list. A structured reply is already evaluated the moment it arrives. That is why you attach to each parent letter exactly what you actually need: an acknowledgement, a yes or no, a choice between several options, or a digital signature for a consent form. The result is available as a figure and as a list, without anyone sorting slips or making tally marks on a sheet. On the parents' side the path is just as short: read, tap, done, with no printer and no detour through the schoolbag.
Data protection and retention
A parent letter with a reply contains personal data: names, consents and, for a trip, sometimes health information. It therefore runs through a closed channel with role-based access, in which a teacher sees the replies of their own class and not those of the class next door. All data sits on servers in Germany, and a data processing agreement under Article 28 GDPR is part of the access. Because consents are not meant to be stored forever, retention periods can be set per data type: replies about a school trip disappear after the configured period, while the school still keeps what it is required to keep.
Up and running in a few steps
Create your classes and onboard parents with an invitation link – done. Existing classes from Untis or Indiware can be imported, and your very first parent letter already goes out digitally with reply – no training and no new hardware.
