How the parent portal enters the school

Set up school and classes
The school creates its classes or imports them from the existing timetable. Roles for school management, the office and teachers are defined from the start, so that each person sees exactly the classes they are responsible for.

Invite parents
Every family receives an invitation link and sets up their own access, in the browser or in the app. Several legal guardians per child are supported, and so are siblings spread across different classes.

Switch on modules
The school decides what is visible in the portal: news, sick notes, parent letters, appointment booking, documents. Starting with a single module is possible, and adding more later changes nothing for parents.

Use it day to day
From then on, sick notes, replies and appointment booking all run through the same access. The office follows the status in real time instead of taking calls each morning and sorting paper slips.

One access instead of four channels
Many schools currently communicate in parallel by email, on paper, by phone and in a private chat. Every piece of information therefore exists in several places, and none of them is complete: parents search the inbox, the schoolbag and the chat history, while the office answers the same question several times over. The parent portal brings those routes together. News, parent letters, appointments, sick notes and documents sit in one place, in chronological order and searchable. Anyone looking for information knows where it is, even weeks later. For the school that means fewer follow-up questions; for parents, one reliable source instead of half-knowledge spread across four channels.
Sick notes without a phone call
Between half past seven and eight the phone rings in every school office, and each report is noted by hand and later transferred into the class list. In the parent portal, parents report their child sick themselves: the date, the period and a short note are enough, and the absence appears in the digital register immediately. The teacher sees it at the start of the lesson, without anyone passing a slip along. Whether a written excuse has to follow, and by when, comes from your school's attendance policy and the education law behind it; in some systems there is no deadline at all. The portal carries whichever deadline you configure and reminds in time instead of leaving it to memory. The office can still record a phone call itself, so that families without portal access are covered too.
Data protection and roles in the portal
A portal where absences, names and messages come together has to separate access cleanly. The role model therefore distinguishes school management, the office, teachers and parents: a teacher sees their classes, a family sees their child, and nobody sees more than the task requires. All data sits on servers in Germany; a data processing agreement under Article 28 GDPR is part of the access, as is the register of technical and organisational measures. Retention periods can be set per data type, so that accounts and content are removed on schedule when a child changes school or after the school year, instead of remaining indefinitely. These points can be checked in writing before rollout.
