Set up classes and subjects
The school stores classes, subjects and the term as well as its own report layout. After that the system knows which teacher is responsible for which report field and opens only their part.

Graded report, narrative report, mixed form
Which report form a school issues is not a question of software but of the reporting rules your school sits under: purely graded reports, fully written narrative reports, tick-box grids or combinations of these. The grading scale, and the point from which primary school gives grades at all, come from the same source – in Germany that is the report regulation of the federal state, elsewhere a national curriculum or the school's own statute. The report card software therefore does not impose a fixed form; it lets the school store its own report template: fields for grades, fields for running text, headers with school name and school year. Once set up, that template applies to all classes and stays unchanged next term, until the school deliberately changes it. That spares the annual format argument.
Comment blocks in the report document
The route from a comment block into the finished report is the real time sink when it runs through the clipboard and Word. Here the block list sits right next to the report field: select, insert the name, adjust the sentence, apply. Formatting, hyphenation and field length are preserved, so nobody has to nudge lines afterwards. The school also maintains its own block list, so that wordings agreed across the staff stay within reach for everyone. If a teacher changes class or school, this shared stock remains – it does not hang on a private file. New colleagues find it on day one.
Report data, roles and retention
Grades and report texts are the most sensitive data in school operations. In SchuleVernetzt they sit encrypted on servers inside the EU, in Germany; processing rests on a data processing agreement that comes with a data protection pack including a record of processing activities. A role concept separates cleanly: subject teachers see their subject, the class teacher the whole report, the head the year group. Changes are traceable, so it is clear later who entered which grade. How long reports and duplicate copies have to be kept is not a data protection question at all – it comes from the education law your school sits under; you store the periods once, after which the deletion rules apply automatically. Exporting the reports as a PDF archive remains possible at any time.
